How to setup Outlook to work with Office 365

This article explains how to setup Outlook 2010 (i.e. the full version) to access a mailbox hosted on Office365.

Due to frankly enormous demand for migration services, my company has setup a dedicated team for Office365 migrations. You can view their website here:- . If you are looking for help please get in touch!

Connecting via this method is known as “Outlook Anywhere”. The process should also apply to other version of Outlook but bear in mind you will need to be running one of the below:-

  • Microsoft Office 2010
  • Microsoft Office 2007 with Service Pack 2
  • Microsoft Office for Mac 2011 with Service Pack 1
  • Microsoft Office 2008 for Mac version 12.2.9

Step 1 – Get the name of your Office365 server

Log onto the office portal and go to the “about” menu.

In the window that appears to you need make a note of the Host Address. Note you just need the server name – e.g.

Step 2 – Create Outlook profile

If you are setting up the first profile on the computer then just launch outlook and the new profile wizard will start. If not you will need to go to the windows “control panel” and then “mail” and create a new profile from there. Choose the options as shown below.

Below you need to enter the Host Address you obtained in step 1 with “mailbox” added in the middle. i.e. becomes Note – you should enable cached mode. The username is the email address of the end user.

Click on more settings. On the window that appears go to the connection tab and select “connect to Microsoft Exchange using HTTP”. Then click on “Exchange Proxy Settings”.

Enter the info shown below. Under connection settings you must enter the host name obtained in step 1.

Click ok and ok. Click on “check name” and you will be prompted for the password. The credentials should then be accepted and the server and user name should now be underlined.

Click next and finish. The profile is now setup and you should now be able to use Outlook.

You can verify that the client in able to connect to your office 365 server by opening a browser and going to the (OWA) host address listed in step 1.

Other Notes

You can simplify the above process by creating DNS “autodiscover” CNAME records. I will update the article when I have more info on this.
